My room group has odd numbers. What do I do?
Due to the complexity of these trips and liability issues, we do not assign random roommates. All of our travelers are required to find their own roommates.
We know that sometimes your room groups don't split evenly and you may wind up with less people than max occupancy in a room. Not to worry! This is why we start planning these events months in advance.
Here are some options to finalize your room:
1. Find other roommates of your choosing (Talk to your friends, friends of friends, other organizations, your campus rep, other campus reps, check the Facebook groups, etc.) with matching trip dates and hotel Ask around, there are always late sign-ups! Once you have found your roommates proceed to create your room at the required occupancy.
2. Finalize with less than maximum occupancy. If you finalize with less than maximum occupancy, the remaining roommates will have to cover just the hotel portion of the trip for the missing roommate/s. Pricing depends on the number of roommates and hotel.
Please have the room leader(top person on the room list) email firstname.lastname@example.org with the name & email addresses (associated with their SWAT account) of all roommates and a statement acknowledging the additional cost to cover the missing roommates.
Note: If you finalize with less than maximum occupancy, you will be refunded if roommates are added later on. They have to purchase their own hotel shares through the system and the room leader MUST email us so that we can update the roommates in the system. Failure to do will result in additional fees.
